FAQ
Everything you need to know about how Griffio works, what's included, and what it isn't.
Sign up for a free account — no credit card required. Once you're in, add a contact, create your first document, and download or send the PDF. Most people are set up within a few minutes.
UK sole traders and small business owners who handle their own admin. If you're juggling invoice templates, client addresses in old emails, and a spreadsheet that's always one edit behind — Griffio is built for you.
For day-to-day invoicing, quotes, expenses, purchase orders, and client records — yes. Reports are assembled from the work you already do inside Griffio, so there's no spreadsheet to maintain alongside it.
No. Griffio is a web app — open it in any browser, on any device. There's nothing to download or install.
Invoices, quotes, credit notes, debit notes, and purchase orders. All are auto-numbered, branded, and exported as PDFs. On the Pro plan you can also email the PDF directly from Griffio.
Yes — in one click. Once you've won the job, open the quote and convert it. The line items, contact details, and amounts carry over. A new invoice number is assigned automatically.
Griffio assigns numbers automatically in sequence — INV-0001, INV-0002, and so on. You don't have to track what number you're up to or worry about duplicates.
You update the status yourself. Each document has a status — Draft, Sent, Paid, or Overdue — that you set manually as things progress. Griffio doesn't connect to your bank or receive payments; it's a record-keeping tool, so you're always in control of what the status reflects.
No. Griffio is for creating, sending, and organising documents. Payment happens directly between you and your client through whatever method you agree — bank transfer, cheque, or anything else. When you receive payment, you mark the invoice as Paid in Griffio.
Yes, on the Pro plan. On the Free plan you can export the PDF and send it yourself from your own email client.
You save a client or supplier once — their name, address, email, and any other details — and Griffio fills those details into every document you create for them afterwards. You never retype the same information.
Yes. Both live in the same contact directory and can be used across different document types — clients on invoices and quotes, suppliers on purchase orders.
Update it once on their contact record. All future documents will use the new details. Existing documents you've already created are not changed, so your records stay accurate.
Log an expense by giving it a description, a category, and an amount. That's it. Expenses are categorised and totalled automatically, and they feed straight into your reports. No separate spreadsheet needed.
Categories cover common sole trader spending — travel and transport, equipment and tools, software and subscriptions, professional services, office and supplies, and marketing and advertising, among others.
Reports in Griffio are built continuously from your documents and expenses as you go — there's nothing to run or export. Revenue totals, outstanding payments, and expense breakdowns update whenever you create a document or log an expense.
Not entirely. Griffio gives you a clear picture of your invoicing, what's outstanding, and your spending — which is enough for most day-to-day purposes. For self-assessment, VAT returns, or more complex accounting, you'd still work with an accountant or dedicated accounting software. Griffio makes that easier because your records are already tidy.
Yes. The Free plan lets you create and download up to 10 invoices or quotes per month, with no credit card required. It's genuinely useful for getting started or for low-volume work.
Invoices and quotes you create each calendar month. Credit notes, debit notes, and purchase orders are available on Pro only and don't count toward a Free limit.
Everything — unlimited invoices and quotes, emailing PDFs, purchase orders, credit and debit notes, supplier contacts, expense tracking, line item templates, and reports. £9.99/month, or £8.99/month billed annually.
Yes. You can upgrade from Free to Pro at any point, and cancel or downgrade from your account settings whenever you like. No lock-in, no cancellation fee.
All your existing documents and contacts stay intact. You lose the ability to create new documents beyond the Free plan limit, but nothing is deleted.
No. Monthly Pro is billed each month. Annual Pro is billed once per year at a ~10% discount. Both can be cancelled at any time.
